Have the model details and instructions ready
List the manufacturer, model, article number, variant and quantity for each item. A wardrobe with sliding doors may need different preparation from a similarly sized wardrobe with hinged doors. Add any separately ordered internal fittings, doors, drawers or wall brackets.
Give the contractor the matching assembly instructions and, where relevant, your configuration plan. IKEA, for example, provides instructions for its current range on the individual product pages. Check that the document matches your exact version.
For used or previously dismantled furniture, photos of the original setup and a list of available fittings are useful. Identify missing documents or parts so the contractor can assess whether the planned assembly is feasible before the appointment.
Check the delivery and agree who unpacks it
Compare the delivered packages with the order and delivery documents. Check article numbers, package labels and visible damage. A furniture item may arrive in several boxes; having one box does not establish that the delivery is complete.
Photograph visible damage and readable package labels. Report missing or damaged goods to the seller and tell the assembly contractor. They need to know whether the affected parts prevent assembly or change the planned work.
Agree who opens the boxes and checks the parts list. As one service-specific example, IKEA asks customers using its Taskrabbit assembly service to leave furniture packaged in the room where it will be assembled. Follow your own contractor’s agreed preparation requirements.
If boxes are already open, keep components grouped by furniture item and label the small fittings accordingly. Retain packaging until the agreed checks are complete, so accessories and identifying labels are not accidentally discarded.
Prepare the workspace and access within the room
Space at the final position may not be enough. Depending on the furniture, the contractor also needs room to lay out parts, assemble and position the item. Ask about the required working area using the instructions and your room measurements; one fixed floor-area allowance cannot cover every model.
Show sloping or low ceilings, skirting boards, radiators and the opening space for doors and drawers. Agree floor protection and remove personal belongings from the working area. Keep children and pets outside that area during assembly.
| Check | Prepare or describe | Confirm with the contractor |
|---|---|---|
| Final position | Note the intended location and measurements | Will the furniture fit and function here? |
| Working area | Show the available clear floor space | How much room does this model need during assembly? |
| Ceiling height | Describe the height, slopes and obstacles | Is the planned assembly method possible here? |
| Access | Describe doors, passages and package locations | Who brings the packages into the working area? |
| Floor and surroundings | Show delicate surfaces and existing damage | Who provides the agreed protection? |
| Lighting and power | Describe lighting and available sockets | What working conditions are needed? |
| Packaging | Keep the agreed collection area clear | Who gathers and disposes of the material? |
Discuss required wall anchoring in advance
Check your furniture’s safety instructions. For example, IKEA requires secure anchoring and suitable fixings for the KALLAX shelving unit with article number 802.758.87. The requirements for your own furniture come from its specific documentation.
Share known information about the wall and mark anything unknown as unresolved. Ask who assesses the substrate, fixings and installation position on site and supplies the required materials. A photo alone cannot establish that a fixing is suitable.
If a required safety fixing cannot yet be completed, agree the next step with the contractor. Do not use the affected furniture until the required anchoring is in place. Resolve any necessary permission for fixing before the appointment.
Record what the appointment includes
Ask for the furniture and accessories to be assembled to be listed. Also clarify unpacking, carrying within the property, floor protection, wall anchoring, adjusting doors and drawers, and handling packaging. Each task should have an agreed responsible person.
Agree what happens if delivery is late, parts are missing or extra materials are needed: whom to contact, whether to change the appointment and how any additional work is agreed. An assembly booking does not automatically include other tasks.
For kitchen furniture, electrical, gas and water connections are not automatically part of furniture assembly. Arrange these separately with an appropriately qualified specialist contractor.
A short message for your assembly contractor
Use this template to confirm the preparation. Replace the brackets and identify unresolved points clearly.
- Furniture: [manufacturer, model, article number, quantity and accessories].
- Documents: [instructions or product link, configuration plan if applicable].
- Delivery: [received or expected; packages present and missing].
- Condition: [sealed, unpacked or used; known damage].
- Room: [location, measurements, clear workspace, particular features and photos].
- Anchoring: [manufacturer requirements, known wall details, open questions].
- Please confirm what I should prepare and what you handle, including protection, unpacking and packaging.
Final check on assembly day
Before work starts, review the intended position and agreed tasks with the contractor. If there is new damage, a missing part or an unresolved fixing question, agree how to proceed first.
- Packages, instructions and accessories are accessible and matched to the correct item.
- The agreed workspace and access routes are clear.
- Protection, unpacking and packaging arrangements are confirmed.
- An available contact person can make decisions about open points.
- After assembly, review the agreed functions and any unfinished work together.
