Identify the exact product before delivery

Record the manufacturer, product range, item number, design, format and intended installation method. Add the number of packs ordered and the contents of each pack. ‘Oak-effect vinyl’ is not enough to match a delivery to the right instructions. An integrated underlay or a different joint system may also change which instructions apply.

Keep the order confirmation, installation instructions and documents for the agreed accessories together. Record the instruction version. Ask the contractor to check that it applies to the exact item ordered. Agree on material quantities before ordering; checking the delivery does not replace measuring the rooms.

Arrange delivery to the agreed storage location

Ask the seller where delivery ends: at the kerb, the building entrance or the intended room. Clarify unloading, carrying packs upstairs and handling pallets separately. Record who can be contacted on site and who will move the goods from the delivery point.

Reserve storage space beforehand. Consider pack dimensions, total weight, access and other work in the room. Do not assume an entire delivery can safely sit in one heavy stack anywhere in the property. If the load-bearing capacity is unclear, have the location professionally assessed. Keep doors, passageways and escape routes clear.

Check the delivery and identify any discrepancies

Compare pack counts and visible labels with the order and delivery note. Photograph packaging problems and record which packs are affected. If the item, design or quantity differs, or cartons are wet or damaged, resolve the discrepancy with the seller and installer before using the affected goods.

Checking the outside of a pack is not a complete material inspection. Agree who will inspect the elements when the instructions allow the packs to be opened. Quick-Step’s Rigid Vinyl instructions identify damage and appearance differences as checks and recommend keeping the label, purchase receipt and material codes. These records help identify the goods; they do not establish a universal rule about warranty rights.

Follow the product’s storage and packaging instructions

Have the intended storage location and pack arrangement confirmed. A basement, garage or delivery vehicle is not suitable simply because it has spare space. Ask about moisture, temperature, sunlight, separation from ongoing work and any protection needed.

For example, Quick-Step’s Flex Glue Vinyl instructions require flat storage on a level surface and acclimatisation in unopened cartons. This is not a general rule for rolled flooring or other products. Do not open packs early ‘to air them faster’; use the relevant instructions to establish when to open them, how to stack them and which storage conditions to maintain.

Give acclimatisation its own place in the schedule

Acclimatisation means allowing the material to adapt to the specified conditions before installation. A certain number of hours since delivery does not by itself demonstrate this. Record when the material reaches a suitable location under the required conditions, and who will check those conditions.

MEISTER’s instructions distinguish between product groups and also account for winter in preparation times. The planning implication is that one waiting period cannot cover every floor. Confirm the duration, packaging condition and room climate for your product. After late delivery, a move to another room or unsuitable conditions, the contractor needs to reassess the planned start.

Book installation with these prerequisites in mind. Delivery the evening before only fits the proposed start if the actual requirements can be met. Plan access to the room during preparation so that other work does not change the agreed conditions.

Keep a shared delivery and preparation record

Use separate entries or a separate sheet for each product or delivery. Enter confirmed details and mark unresolved points. The following checklist supports coordination; it is not a technical inspection report.

Accessories and the subfloor have separate requirements

List adhesive, primer and other agreed products separately. Check their storage and application instructions and shelf life. The UZIN KE 2000 S data sheet distinguishes storage conditions, application temperature and times after application. This is an example of contractor documentation, not a shopping recommendation; the manufacturer specifies the product for qualified professional commercial users.

Separate three stages in your plan: preparing the covering, establishing that the subfloor is ready, and waiting after bonding. Completing acclimatisation does not make an unsuitable subfloor ready for installation. The contractor must also establish when the finished surface can carry loads again.

For underfloor heating, agree the product requirements with the responsible contractor. Do not independently change heating programmes to speed up material preparation. The guide to low-emission flooring complements product selection; labelled products still require appropriate storage and preparation.

Include delivery status and open tasks in the enquiry

State the location, rooms, approximate area, desired floor and planned date. Add whether you have ordered the material, where it is stored and which delivery or storage details remain unresolved. Have the order documents and product instructions ready to discuss with the independent contractor.

HandMen provides online marketing and enquiry referrals. We do not deliver, store or install materials, or confirm technical readiness for installation. Before forwarding personal data, we identify the specific independent partner and obtain your separate consent. You agree the quotation, contract, assessment, work, invoice and payment directly with that partner. Material purchases and delivery follow your separate agreement with the seller or installing contractor.
